2 weeks agoI’ve been looking into selective mailbox migration rather than moving an entire account blindly. In a real business environment, there are often years of old emails, unnecessary attachments, duplicate messages, and other data that may not need to be transferred to the new mailbox.
One tool I came across during my research was the SysInfo Email Migration Tool. It supports different sources such as PST/OST, IMAP/POP3, Microsoft 365, GoDaddy Office-based accounts, and Hotmail/Outlook. This seems useful when an organization has mailboxes coming from different environments instead of a single standardized source.
The filtering options are probably one of the more important parts for this type of project. For example, an administrator might want to migrate only emails from a particular date range or select specific item types. There are also options related to attachments, read/unread status, unwanted senders, advanced filtering, and duplicate removal. Being able to decide what gets transferred before the process starts can make the destination mailbox much cleaner.
I also think authentication deserves attention before starting an email migration. Personal accounts and organizational accounts may require different connection methods. Microsoft environments can use Modern Authentication or Client Secret, while Google Workspace administration can involve JSON or P12 credentials. Testing the authentication method before beginning a large job could prevent unnecessary interruptions later.
For a small number of mailboxes, manually reviewing and transferring selected data may still be possible. However, larger organizations may need email migration services when there are many accounts, multiple platforms, or strict project deadlines.
For anyone who has handled selective migration, how did you decide what data should actually be moved? Did you use date filters and duplicate removal, or did you prefer to migrate everything and clean the destination afterward?
