I’m currently looking into better ways to archive emails from an IMAP account, especially when the mailbox has accumulated several years of messages and attachments. My main concern is avoiding a situation where an important email or attachment gets missed during the backup process.

I initially considered doing everything manually, but that approach seems impractical for a large mailbox. Downloading folders individually can take a lot of time, and there is also the possibility of losing the original folder hierarchy or creating duplicate copies of emails. Instead of connecting to every mailbox individually, an administrator can potentially provide account details through a CSV file and process multiple accounts together. That sounds particularly useful for small businesses or IT teams handling employee mailboxes.

SysInfo IMAP Backup Tool seems to focus on these kinds of scenarios, including folder mapping, date filters, duplicate removal, incremental migration, and multiple export formats. I’m more interested in hearing from people who have actually used this type of software than simply choosing one based on its feature list.

One feature I would definitely want is incremental processing. If I already backed up a mailbox last month and only a few hundred new emails have arrived since then, I would prefer not to export everything again. A “skip previously migrated” type of option could save considerable time and storage.

Security is another important consideration. I would want the backup to happen locally without unnecessarily uploading mailbox data to a third-party cloud service. Handling credentials securely is also essential when dealing with multiple accounts.
